The type of personal information we collect

We currently collect and process the following information:

·         Personal identifiers, contacts and characteristics (for example, name and contact details)

·         contact information, such as your email address, your telephone number and your postal addresses for billing, delivery and communication

·         Financial information

·         payment information, such as a debit or credit card number and expiry date and bank account details

·         records of communication between us including messages sent through our website, email messages and telephone conversations

·         marketing preferences that tell us what types of marketing you would like to receive

·         In addition, we may also process:

·         documentation that confirms your identity, such as an image of your passport or driver’s licence

·         an image that shows your face, such as a passport photograph

·         documentation that confirms the qualifications you advertise as holding

·         documentation that confirms your employment, such as recent payslips

·         documentation that confirms your address, such as a tenancy agreement or rental contract


 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

·         To verify your identity

·         to allow us to detect and prevent money laundering activity or terrorist financing.

·         Where you are a commercial tenant of at one of our third party landlord premises you provide us with personal data such as financial and business information, contact details and bank account details. This is so that we can assess your suitability to be a tenant, allow you to pay the sums due under your lease and manage those buildings

·         Where we provide property management services for a third party landlord (who is not us) we can be provided with personal data on tenants and their employees where this is necessary for us to carry out these services.

We may share this information with law enforcement agency, court, regulator, government authority, insurer or other third party. We may share your personal information with these parties where we believe this is necessary to comply with a legal or regulatory obligation, or otherwise to protect our rights or the rights of any third party or to put in place insurance for our centres and other buildings. We may also share information with our managing agents in order to enable them to provide their services to include demanding sums to be paid under any leases or licence.

Asset purchasers and joint venture partners. We may share your personal information with any third party that purchases one or more of our properties or the companies with which our clients might jointly own a property.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored at 28 Manchester Street London W1U 7LE and on Microsoft Office 365 external servers.

We will keep your personal information for as long as we have a relationship with you. Once our relationship with you has come to an end, we will retain your personal information for a period of time that enables us to:

Maintain business records for analysis and/or audit purposes or risk management purposes;

Comply with our business record retention requirements;

Defend or bring any existing or potential legal claims; and

Deal with any complaints regarding the services.

We will delete your personal information when it is no longer required for these purposes. If there is any information that we are unable, for technical reasons, to delete entirely from our systems, we will put in place appropriate measures to prevent any further processing or use of the data.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
